12 Weeks Before Moving

• Research your new area - parking at destination, building access if moving into an apartment

8 Weeks Before Moving

• Confirm your removalist and pay the deposit - get written confirmation of the date, price, crew size and insurance
• Begin sourcing packing materials - boxes, tape, bubble wrap, wardrobe boxes, mattress bags
• Start packing non-essential rooms - spare bedrooms, storage areas, seldom-used kitchen items
• Arrange a pre-move inspection if your removalist offers one - this is particularly useful for large or complex homes
• Notify your current utilities of your move date to arrange final readings and connection at destination

4 Weeks Before Moving

• Update your address with: Australia Post redirect, ATO, Medicare, Centrelink, your bank, your super fund, and electoral roll
• Notify your insurer of the upcoming change of address and confirm transit insurance coverage
• Confirm the delivery window with your removalist and have a plan for what happens if it extends
• Pack and clearly label all boxes by destination room at the new address, not the current one
• Arrange any high-value item assessments - artwork, antiques, musical instruments, and jewellery

Packing for an Interstate Move

Interstate packing standards are higher than for a local move. Your belongings will travel further, potentially be handled more times if backloading, and may sit in a truck for several days. Cutting corners on packing at this end creates the conditions for damage at the other end.

Box Quality Matters More

Cheap or secondhand boxes collapse more easily when stacked in a truck over a long haul. Use double-walled boxes for heavy items and for anything that will be at the bottom of a stack. Moving companies sell purpose-made boxes; they are worth the cost for an interstate move.

Label Boxes for the Destination, Not the Origin

When boxes travel interstate, they are often moved without you present during unloading. Label every box with the destination room and a brief description of contents. This allows removalists or helpers at the other end to place boxes in the correct room without needing to ask.

Create a Written Inventory Before Loading

A written inventory of everything being moved is the most important document in an interstate relocation. It is your record if anything is damaged or missing, your reference for the insurance claim process, and the checklist your removalist works through at delivery.

Photograph high-value items before they are packed. Note serial numbers for electronics. This takes one to two hours but provides protection that no amount of transit insurance replaces once the item is already damaged.

Interstate Transit Insurance

Transit insurance for an interstate move is not the same as the transit cover that comes standard with a local move. Confirm with your removalist that their policy covers the full interstate leg, not just the Sydney pickup.

What to Confirm in Writing

• The policy covers the full transit distance - pickup address in Sydney to delivery address in the destination city
• The sum insured is sufficient to replace your items at current replacement value, not depreciated value
• High-value items (over $5,000 per item) are either covered or specifically excluded
• The policy covers damage caused by the removalist, not just loss
• There is a clear claims process and timeframe documented before the move

Artwork, antiques, pianos, musical instruments and jewellery often have specific coverage limits or are excluded entirely from standard transit insurance policies. Obtain an individual assessment and, where necessary, a standalone insurance policy for these items before they leave your property.

Move Day

Interstate move day is the moment when weeks of preparation either pay off or reveal the gaps. The following steps help it go smoothly.

   Walk the crew through the property and point out any items that need special handling - the fragile items, the items that disassemble, the items you are leaving behind. This five-minute briefing prevents confusion mid-move.

   Your written inventory is the reference. Watch high-value items go onto the truck and confirm they are blanket-wrapped before they leave the room. You do not need to supervise every box, but the furniture and art deserve attention.

   Take a photograph of the load inside the truck before the doors close. This is your reference if anything is delivered damaged or missing.

   Before the crew departs, confirm the delivery contact number, the expected delivery window and what happens if your new property is not ready on the scheduled day.

   Do a final walk of your current property

   Check every room, every cupboard, the garage, the garden shed, the laundry. You will not be back for a while. Leave the keys as agreed and photograph the property condition as you leave.

What to Do If Delivery Is Delayed

Interstate move delays are not unusual, particularly for backloading services where the route involves multiple stops. Knowing in advance what the process is for a delay reduces the stress significantly.

• Confirm the delay in writing with your removalist and get a revised delivery window
• Ask for daily updates if the delay is more than 48 hours past the original window
• Review your contract for any delay compensation provisions - some operators include a per-day allowance
• Arrange temporary accommodation or storage at destination if your move-in timeline is affected
• Document all communication in writing in case a formal dispute is needed
